How to include an image in an e-mail template or footer.

You can include images in your e-mail templates and your e-mail footers. We do this by allowing you to link to the image as opposed to attaching the image to the e-mail being sent, in our testing we find that modern web based e-mail clients can handle linked images far more consistently than attached images. You'll find notes below to help you set this up.

  1. First you need to be editing an e-mail template or your e-mail footer.
  2. Place the cursor where you wish to include the image and click on the image icon (see the screen print below).

  3. In source you need to enter the full web address of the image. If you are accustomed to including images on websites and have a web server that can host the image then this should be a straight forward task for yourself or whoever is in charge of updating your website. If you are not sure how to do this then we would recommend you use Dropbox to host your images and we include guidance below on how to do this below.
  4. The image description text will be used where an e-mail client can not access the image, for example where your client has their Outlook setup to not automatically download images. Typically Office 365 and GMail will download images automatically unless an e-mail is treated as suspicious but not all e-mail clients will do so, therefore we recommend having a suitable image description and also we recommend only using images for logos etc, any important content in your e-mail should be text based.
  5. If you do not wish to use the size of the image then you can enter your own dimensions (tick constrain proportions to ensure the image is not distorted), you can leave these blank if you are happy the image is already the correct size.
  6. Click OK, if the link has worked your image should appear in the template/footer editor.

Hosting your images on Dropbox:

If you do not have a website that can host your images then we recommend using Dropbox. Google Drive and OneDrive do not host images in a way that allows an e-mail to directly link to them (instead they link to a page that shows the image), so we find Dropbox works best for this purpose. Follow these steps:

Firstly note you'll need a Dropbox account (a free account is fine), skip to point 2 if you have one already.

  1. Create a Dropbox account here.
  2. Log into Dropbox.
  3. Upload your image file. You should see a blue Upload button (currently on the right side of the screen) then choose Files.
  4. Once your file is uploaded hover over the file and click on the Share button.
  5. You do not want to share with a specific person so instead click on the Create a link button (it is just below the e-mail/name box, to the right).
  6. Once the link is created click copy link
  7. Paste this link into the source box (point 3 in the guidance above).
  8. IMPORTANT: At the end of your link you will see the text dl=0 you need to delete this and replace it with raw=1
  9. Click Save template to save the changes. We always recommend testing your template/footer to ensure the image displays as expected.
