How to change when jobs automatically create.

This guidance is relevant to trigger date workflow systems. To change the auto creation date on a tax year workflow system please send a message to Glide support.

On trigger date workflow systems jobs are created as a result of the settings on your trigger date client fields. These fields contain a setting called Offset which refers to the number of calendar days before (negative number) or after (positive number) the trigger date that the job will be created. Follow the steps below to update this setting.

If you are looking to change the offset on the main Accounts/Financial Statements workflow system (this one is linked to the Next Year End field on the summary tab of the client card) then the process is slightly different; again, the steps are covered below.

Steps for trigger fields:

  1. Firstly, note that you need to be a superuser to access the config menu.
  2. Click on the Config menu.
  3. Click on Edit workflow systems.
  4. Drill into the appropriate workflow system by clicking on the pencil icon alongside the name.
  5. Click on the Client Card Fields tab.
  6. Those fields with the data type Trigger date are your trigger fields. Click on the pencil icon alongside the relevant field to edit the offset.
  7. Change the offset and click save. Remember, a positive number, e.g. 10, will mean the jobs create 10 calendar days after the job date (i.e. the date in the trigger field) and a negative number, e.g. -5, means the jobs will create 5 days before the job date.
  8. If you have moved the point of job creation backwards, then you may have skipped some auto-creation dates. Glide should create these jobs overnight, and they should be visible the following day. If this does not happen, please raise a support ticket so that your settings can be adjusted.

Steps for the main Accounts/Financial Statement workflow:

One of your active workflow systems can be linked to the permanent client trigger field called 'Next Year End'. This is visible on the summary tab of the client card and appears on various reports and widgets. For UK systems, the field is populated automatically by Companies House on client creation.

  1. Click on the Config menu.
  2. Click on Edit workflow systems.
  3. Drill into the appropriate workflow system by clicking on the pencil icon alongside the name. For the UK Glide templates, this will be the Accounts/CT system, and for North American Glide templates, this will be the Financial Statements workflow system.
  4. Click on the green button in the top right of the screen labelled Edit system settings.
  5. You will see a field called Offset from above date. This works exactly as the offset described above and can accept a positive or negative number.
  6. Once changed, click Save to save changes.
  7. As above, if you have moved the point of job creation backwards, then check to ensure any skipped jobs are created overnight.
